Privacy Notice
1. About this notice
This notice explains how SMS Integrated Services PLT ("SMS", "we", "us") collects, uses and protects personal data through www.smsintegratedservices.com, our enquiry forms, email and WhatsApp, in line with Malaysia's Personal Data Protection Act 2010 (as amended). A Bahasa Malaysia version follows the English text below.
2. Personal data we collect
- Contact details you give us: name, company, job role, email address, phone or WhatsApp number and country.
- Enquiry details: the services, standards, products, quantities, delivery terms and timelines you describe.
- Due diligence documents you choose to upload, such as a Company Information Sheet (CIS), certificate of incorporation, company profile or bank reference letter. These may contain personal data about directors, shareholders or staff.
- Messages you send us by email or WhatsApp.
- Basic technical data our hosting and font providers process automatically when you visit, such as your IP address and browser type. We do not use advertising or analytics cookies.
3. Why we use it
- To reply to your enquiry, prepare quotations and arrange consultations.
- For commodity enquiries, to carry out know-your-customer (KYC), due diligence and sanctions screening on buyers and supply partners before any offer is shared.
- To enter into and perform contracts with you or your organisation.
- To meet our legal, regulatory and record-keeping obligations.
We only collect what we need for these purposes. Providing your data is voluntary, but without the required contact details we cannot respond to your enquiry.
4. Who we share it with
- Service providers who host our systems, currently Google (Google Workspace, used for email, enquiry records and document storage), Netlify (website hosting) and WhatsApp. These providers may store data on servers outside Malaysia; we use reputable providers with appropriate safeguards.
- Counterparties, inspection companies or professional advisers, only where needed to progress your enquiry or a transaction, and with your knowledge.
- Authorities, where required by law.
We do not sell personal data.
5. How long we keep it
We keep enquiry records and documents for as long as needed for the purposes above, normally up to seven years after our last contact or the end of a business relationship, and then delete or anonymise them.
6. Security
Access to enquiry records and documents is limited to our authorised staff, protected by company accounts with strong authentication.
7. Your rights
You may ask to access or correct your personal data, limit how we use it, or withdraw your consent, subject to our legal obligations. Contact us at info@smsintegratedservices.com. We will respond within 21 days.
8. Changes
We may update this notice from time to time. The effective date above shows the latest version.

Notis ini menerangkan bagaimana SMS Integrated Services PLT ("SMS", "kami") mengumpul, menggunakan dan melindungi data peribadi melalui www.smsintegratedservices.com, borang pertanyaan, e-mel dan WhatsApp, selaras dengan Akta Perlindungan Data Peribadi 2010 (seperti yang dipinda).
Data yang kami kumpul
Butiran hubungan (nama, syarikat, jawatan, e-mel, nombor telefon atau WhatsApp, negara); butiran pertanyaan; dokumen uji tuntas yang anda muat naik seperti Lembaran Maklumat Syarikat (CIS); mesej e-mel atau WhatsApp; dan data teknikal asas seperti alamat IP. Kami tidak menggunakan kuki pengiklanan atau analitik.
Tujuan
Untuk membalas pertanyaan, menyediakan sebut harga dan konsultasi; menjalankan KYC, uji tuntas dan saringan sekatan bagi pertanyaan komoditi; melaksanakan kontrak; dan mematuhi kewajipan undang-undang. Pemberian data adalah secara sukarela, tetapi tanpa butiran hubungan kami tidak dapat membalas pertanyaan anda.
Pendedahan
Kepada penyedia perkhidmatan kami (Google Workspace, Netlify dan WhatsApp), yang mungkin menyimpan data di luar Malaysia; kepada rakan niaga, syarikat pemeriksaan atau penasihat profesional apabila perlu bagi pertanyaan atau urus niaga anda; dan kepada pihak berkuasa jika dikehendaki oleh undang-undang. Kami tidak menjual data peribadi.
Tempoh simpanan dan keselamatan
Rekod disimpan selagi diperlukan, lazimnya sehingga tujuh tahun selepas hubungan terakhir, kemudian dipadam. Akses terhad kepada kakitangan yang diberi kuasa.
